The Agenda

As mentioned in the Introduction to Time Management, The Agenda is used to plan your daily work. There are two kinds of planning:

The open the Agenda, click on the 'Administration' menu:

If you have never used it before, it will look like this:

By default, TeemWork displays the 'personal' section of the Agenda when it is opened (the 'Show my Agenda' checkbox is checked).

To plan a new Activity in your Agenda,

  1. Click on the 'Reset' button to clear up the fields if there is no 'Add' button

  2. Select the day of the Activity, in the top-right calendar. If the Activity begins on one day and ends on another, use the bottom-right calendar

  3. Select the Start Hour and End Hour

  4. Write a description

  5. Click on the 'Add' button

The activity will be displayed in the list. 

You can always select any entry from the list to modify its details. Click on the 'Modify' button to save the changes. 

If you intend to repeat the same Activity every day for some time, you can use the checkbox. In this example, if we intended to have diner with Paul every day, for the next 5 days, at 17:30, we would check 'Reuse for 5 days'.

The Agenda automatically takes note of your free time, by adding 'empty' items to your Agenda between activities, if there is some time. In the following slide, the middle entry indicates 1h15 of 'free time' between the 'Diner with Paul' and the 'Appointment at the hospital'.

The Agenda also notices you when two planned activities overlap:

Lastly, the Agenda is the home of the infamous 'Post-it' note. In the yellow field, at the bottom-left of the window, you can write a message, click on the 'Save my Yellow Sticker' button, and TeemWork will remember it, even if you log off. You will immediately notice the message the next time that you open your Agenda.

The Schedule and the Agenda

The work schedule is used to enter what each user should be working on at specific dates and times. Usually, it is the employee's supervisor's responsibility to determine his schedule, but any user who has the right to 'view' or 'Approve' the employee's Time Sheets, and to 'View the Schedule', can modify it.

One of the uses of the Agenda is to allow supervisors and authorized users to modify an user's Schedule. Its other purpose is to allow users to view their own Schedule.

In both cases, users have to click on the 'Show Schedule' checkbox:

The blue entries are part of the user's personal Agenda, and the grey ones are scheduled Activities. 

When the Agenda and the Schedule are displayed at the same time, time conflicts are not shown , and the Schedule cannot be modified.

If you have the right to see the Schedule (in the 'User Profile' tab of 'User Management), you can modify a user's schedule by following the same steps as you did to add a new item to your personal agenda. However, you also have to select an Activity from the list at the bottom-left, and an overtime rate.

If the Activity is going to be repeated on the following days, weeks, or months, you can click on the 'Reuse' button, and select the number of days that the Activity should be repeated.

The Schedule is just a planning tool. TeemWork does not force its users to stick to the Schedule when they fill their Time Sheets, but if they do, they can use the Schedule to enter their time faster

To view and modify someone else's schedule, remove the check from the 'Show my Agenda' checkbox, and use the drop-down menu at the top. 

This list does not display all the users; only those whose Time Sheets can be seen or approved by you.

You can also click on the 'Card' button to open up the user's Contact Card.

Associating an entry in the Agenda to a Contact's Card

TeemWork stores a lot of information about every Contact. You can use the Agenda to associate a planned activity to a Contact's card. For example, if you had a diner planned with a Client named Mary, you could write it in your Agenda, and associate it to Mary's card. This has two benefits:

Usually, many authorized users can view the information associated to a Contact. The Personal Agenda is an exception to this rule; the user is the only one who has access to it. 

To create a new entry in the Agenda associated to a Contact, follow these steps: 

  1. Open the Contact List, and find the Contact

  2. Click on his name to open his Contact Card

  3. Click on the 'Add to Agenda' button at the bottom, to open the Agenda window

  4. Enter the planned activity as explained above 

Notice that the Contact's name is displayed in blue, on the left. You can click on it to open its Contact Card.

If you add another activity, it will also be associated to the Contact. If you do not want that, close and reopen the Agenda, or simply click on the 'X' button at the right of the Contact's name to remove it.

If you want to see a list of the planned activities associated to the Contact, check the 'list about this contact only' checkbox.

You can also add activities associated to a Contact in the Schedule. However, remember that an Activity can already be associated to a client (see Activity Management).
