Presentation Formats for Contact lists

In the Group Management and the Contact List windows, there are checkboxes called  . When you check them, the 'Presentation Formats for Contact lists' window pops up. It allows you to customize the Contact lists, by selecting the columns to display.

For example, you could choose to display only the name and phone numbers of your Contacts.

Here is the 'Presentation Formats' window:

The checked boxes on the left determine what is displayed on the Contact list. The changes are done automatically, whenever a checkbox is checked or unchecked.

Here is the Contact list corresponding to the checked boxes, in the previous image:

This is all there is to know to customize a Contact list. Once you have selected the right columns for you, close the window and get back to work.

However, when you use presentation formats frequently, it is annoying to always check the same boxes. This is why you can save a presentation format.

Creating a new Presentation Format

To create a new Presentation Format, first, click on the 'Reset' button. Then, give your Presentation Format a descriptive name. You can also add some comments in the 'Comments' field.

Finally, select the columns that you want to display when this Presentation Format is selected, and click on the 'Add' button.

Once a Presentation Format has been created, it can be modified. To do so, select it, make some modifications, and click on the 'Modify' button.

Warning: By default, Presentation Formats are shared across the team. Any TeemWork user from your team can use them. You can disallow this by checking the checkbox.

Also, you should remember that the Presentation Formats that you create for the Contact List are not the same as the ones created for Group Management.

Explanation of the names of the columns to display

Most of the columns have explicit names, but some of them aren't so obvious, such as the 'Yes/NoA' column. Each column uses a different field on the Contact Card. The image below shows the name of every field:

The 'Date', 'Yes/No' and 'Dollar' fields aren't used directly by TeemWork, so you are free to use them for your own purpose. For example, you could check the first 'Yes/No' checkbox to remember that this Contact is a good golf player, or that he is an invaluable customer.

The last two rows of 'Date', 'Yes/No' and 'Dollar' are only visible for Administrators, and their associated columns cannot be selected for the Group Management window.

Finally, notice that, if the 'Name' column is select, but not 'First name', TeemWork will show both in the 'Name' column:
